How to Export Data from TallyPrime and Import It into Udyot ERP

Quick answer: Yes — a full TallyPrime company migrates to Udyot ERP: masters first (ledgers, parties, stock items with their opening balances), then the transaction history. Step 1 — Export the masters from TallyPrime

  1. In TallyPrime, open the company and go to Gateway of Tally → Display More Reports → List of Accounts.
  2. Export (Alt+E) the ledger masters — XML or Excel both work; Excel is easier to review.
  3. Do the same for Stock Items (with units and godowns) and check opening quantities and values are included.
  4. Export the Trial Balance as at your cutover date — this is your reconciliation anchor for the whole migration.

One habit that saves hours later: clean the exports before importing. Merge duplicate parties, fix PAN typos (a PAN is exactly 9 digits), and delete masters you never used — a migration is the one free chance to leave the clutter behind.

Step 2 — Import masters into Udyot

Udyot’s bulk importer has a Tally preset: upload the exported file, and the preset maps Tally’s columns — party names, groups, PAN, addresses, opening balances, stock units, godowns — to Udyot’s fields, with a preview before anything is written. Two behaviours worth knowing:

  • Opening balance signs are absolute — a negative opening means debit, exactly as your Tally TB shows it, so the imported openings reconcile line-for-line.
  • Even messy realities import — negative opening stock (yes, it happens in real Tally data) comes across as-is rather than being silently “fixed”, so your books match what your auditor last signed.

Step 3 — Bring the transaction history

Masters make Udyot usable; history makes it yours. Voucher history — sales, purchases, receipts, payments, journals, credit and debit notes — is imported as real vouchers in their original fiscal years, run together with our team as part of onboarding (Tally migration assistance is included, not an extra). In the client migration we completed recently, the full voucher history followed the masters in, and the registers matched Tally’s day book on the other side.

Note on document types with no VAT meaning: Tally quotation-style vouchers are skipped, not failed — they are offers, not accounting events, and Udyot’s CRM handles quotations going forward.

Step 4 — Prove it landed: the reconciliation checklist

  • Trial balance in Udyot as at the cutover date equals Tally’s export — to the paisa.
  • Party balances: spot-check your ten biggest debtors and creditors against Tally’s outstanding reports.
  • Stock: total opening stock value matches, then spot-check quantities on your fastest-moving items.
  • Registers: a month’s sales and purchase registers side-by-side with Tally’s day book.
  • Keep Tally read-only for a quarter as the reference copy — nothing forces you to delete it.

What changes after the switch

Everything runs in the Bikram Sambat fiscal year with sequential, immutable tax invoices and IRD-verified CBMS e-billing when you enable it — plus the parts Tally never had: browser access from anywhere, a real POS counter, HR and payroll with PF/SSF/TDS, and automatic backups. How long does a migration take?
Masters and openings: typically a day including cleanup. Full voucher history: depends on years and volume — agreed upfront when we scope it with you.

Do I need to finish my fiscal year in Tally first?
No — you can cut over mid-year at a chosen date, or bring the full history and continue seamlessly. Month-end or Shrawan 1 are the tidiest cutover points.

Will my Tally invoice numbers carry over?
Historical vouchers keep their identity for reference; new invoices continue in Udyot’s sequential fiscal-year series, as the Electronic Billing Procedure requires.
