Data Backup and Export
When you run your business on Udyot ERP, your financial records — vouchers, ledgers, VAT returns, payroll, and inventory — are kept safe automatically. Udyot takes regular cloud backups on your behalf, and you can export any report or master data to PDF, Excel, or CSV whenever you need it. There is no lock-in: your data belongs to you, and you can take it with you at any time.
Automatic Cloud Backups in Udyot ERP
Udyot runs scheduled backups in the background so you never have to think about it. The backup frequency and retention period depend on your plan:

All backups are stored in encrypted, geographically redundant storage. If you ever need to restore your company data to an earlier point, contact the support team at [email protected] with your company name and the approximate date you want to restore to.
Exporting Reports to PDF and Excel
Every financial report in Udyot has a built-in export button — no special permissions needed. You can export directly from the report screen at any time.
Reports you can export include:
- Accounting reports: Trial Balance, Profit & Loss, Balance Sheet, Daybook, Ledger statement, Cash Flow
- VAT and tax reports: VAT Purchase Book, VAT Sales Book, IRD Annexes (Annex A, B, C, D), TDS summary — all formatted for Nepal’s IRD requirements
- Inventory reports: Stock Balance, Stock Ledger, Stock Valuation, Inventory Aging
- Payroll reports: Salary register, PF/SSF contribution summary, TDS on salaries (Annex 10)
- Open the report you want to export (for example, go to Accounting → Reports → Trial Balance).
- Set the date range or fiscal year (Bikram Sambat dates are supported).
- Click the Export button at the top-right of the report.
- Choose PDF or Excel. The file downloads immediately to your device.
Nepal note: VAT return reports and IRD annexes are formatted to match the IRB/IRD prescribed formats and use Nepali Rupee (NPR) amounts. You can hand these exports directly to your auditor or upload them to the IRD portal.
Exporting Voucher Lists
You can export the full list of any voucher type — Sales, Purchase, Payment, Receipt, Journal, Credit Note, Debit Note, and more — directly from the list view.
- Go to the voucher register you need (for example, Accounting → Vouchers → Sales).
- Apply any filters you need (date range, party, amount, etc.).
- Click Export to Excel at the top of the list.
- The filtered list downloads as an Excel file with all voucher details including date (BS and AD), party name, amount, VAT, and narration.
Exporting Master Data to CSV
Your chart of accounts, stock items, employees, parties, and other master records can all be exported to CSV for offline review, audit preparation, or migration.
- Ledgers (Chart of Accounts): Accounting → Masters → Ledgers → Export CSV
- Stock Items: Inventory → Masters → Stock Items → Export CSV
- Employees: HR → Employees → Export CSV
- Vendors and customers: Export from their respective list views under Masters
The CSV includes all key fields for each master record, making it straightforward to load into Excel, share with your CA, or import into another system.
Full Data Export (Enterprise)
Enterprise plan customers can request a complete export of all company data — vouchers, ledgers, stock records, payroll, and configuration — in JSON or CSV format.
- Go to Settings → Data Export.
- Select the data scope (date range, modules) and format (JSON or CSV).
- Click Request Export. Udyot prepares the export in the background.
- You receive a notification with a download link when it is ready.
This option is designed for businesses that want a complete local archive, are preparing for an audit, or are moving to a new system. The export is fully machine-readable so it can be loaded into any standard database or spreadsheet tool.
Your Data Belongs to You
Udyot acts only as a data processor — we hold your records so the software can work for you, not to use or sell them for any other purpose. A few important guarantees:
- No lock-in: You can export your data at any time, in standard formats, without contacting support.
- Account closure: If you cancel your Udyot subscription, you have 30 days to download your data before it is permanently deleted.
- No sharing: Your business transactions, customer details, and financial figures are never shared with third parties or used by Udyot for any purpose other than providing the service.
Privacy and Compliance
Udyot is designed to comply with Nepal’s Privacy Act, 2075 (B.S. 2075). We process your personal and business data only to the extent necessary to provide the services you have subscribed to.
