HR & Payroll Module

HR & Payroll Software in Nepal — Attendance, SSF, PF and Salary TDS in One Place

Run payroll for a Nepali team without a spreadsheet: attendance, leave, salary structures, statutory deductions, payslips and the journal entry that lands in your books.

Built around Nepal's labour law, SSF and Income Tax Act slabs · Posts straight to Accounting

Payroll that survives a Nepali tax year

Nepali payroll is not just salary minus tax. It is SSF and PF contributions, gratuity, festival allowances, overtime, loans, leave encashment and TDS slabs that change with the year — all calculated on Bikram Sambat months. Doing it in Excel works until an employee leaves mid-year or a slab changes.

Udyot keeps the employee record, attendance, leave balance, salary structure and loan schedule together. When you process the month, every earning and deduction is computed from those records, the pay run is approved by a second person, and a balanced journal posts to the general ledger automatically.

Payslips and statutory files are generated from the same run, so the number on the payslip, the SSF file, the TDS return and the ledger can never disagree. Pair it with Accounting for the full close.

Capabilities

From hiring to payslip, in one system

Every month, the same numbers reach the employee, the SSF portal and the ledger.

Employee records

PAN, marital status, SSF/PF/CIT numbers, bank details, designation, branch and shift in one employee profile.

Attendance and shifts

Mark attendance in a daily grid or let staff clock in from the portal. Shifts drive late, absent and overtime calculations.

Leave management

Leave types with Nepal-labour-law defaults, request and approval flow, holiday calendar and per-FY balances.

Nepal-compliant payroll

Earnings, PF, SSF, gratuity and salary TDS computed per the Income Tax Act slabs, with the annual year built from its months.

4-eyes approval

Draft, approve and post with separate people. Only an approved run posts a balanced journal to the general ledger.

Payslips and statutory files

Branded payslips, EPF/SSF contribution files, IRD TDS Annex-10 and a salary TDS certificate for every employee.

How it works

A monthly pay run, end to end

Set up people and pay
Create departments, designations, shifts and salary components, then assign a structure and basic salary to each employee.
Close attendance and leave
Review the attendance grid, approve leave and confirm overtime for the BS month before the run is processed.
Process and approve payroll
The processor runs the month; a second approver reviews and approves it. Statutory deductions and loan EMIs are applied automatically.
Post, pay and file
Post the journal to the ledger, release payslips to the portal, and export the EPF, SSF and TDS files for filing.

Salary TDS that reconciles with the annual return

Salary TDS is not a flat percentage — it depends on the employee's annual projection, the months already paid, retirement contributions and the current slab. Udyot computes the year from its months, so a raise in Poush does not retroactively distort Shrawan. The monthly deduction, the per-employee certificate and the Annex-10 return all come from one calculation.

FAQs

Payroll software in Nepal — common questions

Yes. Payroll auto-computes statutory deductions including SSF, PF, gratuity and salary TDS using the Income Tax Act 2058 slabs. The year is worked from its months — earlier months as paid, this month as calculated — so a mid-year change does not distort the annual charge.
A pay run moves through draft, approved and posted. The user who approves must be different from the user who processed it, which prevents one person from changing a salary and paying it without review. The resulting journal posts to the general ledger only after approval.
Yes. A linked employee login with the My Workspace capability can see their own payslips, leave requests, loan balance and attendance — and nobody else's. The permission is separate from HR read and HR write access.
EPF and SSF fixed-width contribution files, the IRD TDS Annex-10 return, and a salary TDS certificate for each employee. These are exported in the formats the respective portals expect, rather than rebuilt by hand each month.
Admins can mark daily attendance in a grid, and employees can self clock-in and clock-out from the portal. Shift masters define the expected hours, and the monthly attendance feeds directly into the pay run so overtime and absence are calculated consistently.
Yes. Each loan carries an EMI schedule with the principal and interest split, deducted through payroll. Disbursement and interest income post their own ledger legs, so the books stay reconciled without a manual entry.
