Services Module

Service Business Software in Nepal — AMC, Projects, Job Cards and Field Service

Sell services without pretending they are stock. Udyot handles service items, recurring contracts, timesheet billing, repair job cards, warranty transfers and field dispatch — with the invoice and the books in the same system.

For IT support, repair shops, consultants and maintenance teams · Billing sits in Accounting

Run the work, not just the invoice

Service businesses in Nepal usually start with a billing package and a separate spreadsheet for jobs. The invoice goes out, but nobody knows which AMC is due next week, how many hours are unbilled, or whether the warranty device came back from the brand centre. Udyot joins the commercial and operational sides.

Service items keep stock out of the catalogue. Contracts bill on schedule. Timesheets turn into invoices. Job cards capture diagnosis, parts and labour in one place. Field visits carry proof of attendance and an SLA clock. And every invoice posts to the same ledger as the rest of the business.

Bring in CRM to fill the pipeline and Inventory for the parts your technicians consume.

Capabilities

Everything a service team touches

From the first support call to the closing invoice.

Service catalogue

Define once, sell anywhere: consultation, maintenance visit, annual support, repair labour — each with its own tax treatment.

AMC and recurring billing

Contracts bill monthly, quarterly or yearly from a work-list or an opt-in cron, so renewals never depend on memory.

Projects and timesheets

Log billable hours against a customer project and invoice the unbilled time at the agreed rate.

Job cards

Receive a device, diagnose it, record parts and labour, and settle once at delivery — with full serial history.

Field service and SLA

Dispatch board, proof of attendance and response/resolution clocks that pause while you wait on the customer.

Reports and service desk

See last month's jobs, warranty recovery, technician load and parts usage, plus every contact about one device.

How it works

A support contract, over a year

Sell the service
Add the service item to a quotation and set up the contract with its amount, frequency and start date.
Deliver the work
Log the visit, the hours or the repair job card, and record the parts consumed from inventory.
Bill on schedule
Generate the contract invoice or invoice the unbilled time. VAT and TDS follow the accounting rules automatically.
Track the outcome
Watch SLA performance, warranty recovery and technician utilisation, and renew the contract before it lapses.

Service tax and TDS, handled where they happen

A service invoice and a service receipt are not the same tax event. Where the customer withholds TDS under section 88(2), Udyot records it when the money arrives, keeping the receivable visible and the income correctly stated. VAT treatment follows the service item, so exempt and taxable services can sit on one contract without manual adjustment.

FAQs

Service business software in Nepal — common questions

A service item is a named, reusable, correctly-taxed catalogue entry — for example "Website Maintenance — Rs 25,000/month". It can be sold anywhere a goods item can, but it never touches stock, so there is no godown, opening quantity or COGS to worry about.
A service contract defines the customer, the service, the amount and the billing frequency — monthly, quarterly or yearly. Each period appears on a work-list you click through, or an opt-in cron posts the invoices automatically. The customer sees a predictable bill; you stop chasing renewal dates.
Yes. Log billable hours against a customer project, review what is unbilled, and generate an invoice from the unbilled time. The rate comes from the project or the service item, so the invoice matches the work recorded.
Yes. A device is received, diagnosed, repaired and handed back on a job card, with parts and labour settled once at delivery. Serial history shows everything that has happened to that device across jobs.
When a customer withholds tax under section 88(2) of the Income Tax Act on a service fee, Udyot records the withheld amount at the moment you actually receive payment — not at invoice time. The receivable stays visible until the TDS certificate is reconciled.
Yes. Field visits carry proof of attendance, a dispatch board assigns technicians, and response and resolution clocks track SLA performance. The clocks pause when the shop is waiting on a customer or a part, so the SLA measures what you control.
