Order Management Module

Order Management Software in Nepal — From Quotation to Delivery, Tracked

Stop chasing orders through WhatsApp, notebooks and memory. Udyot keeps every quotation, sales order, purchase order, delivery note and receipt note in one register, linked to stock and accounts.

Included with Inventory and Accounting · Add RFQs with Supply Chain

The order trail, not just the order

A Nepali distributor typically takes an order on the phone, confirms it on Viber, delivers part of it today and the rest next week, then reconstructs the story when the customer disputes the bill. Udyot replaces that with a linked document trail: quote, order, delivery, invoice — each step referring to the one before.

Every sales order shows what has been delivered and what is still pending. Every purchase order shows what has been received and what has not. Nothing depends on a person remembering, and nothing moves stock until the delivery or receipt note says it did.

Order Management connects CRM quotes to Inventory movements and Accounting vouchers automatically.

Capabilities

One chain from enquiry to settlement

The paperwork follows the goods, not the other way around.

Sales orders

Capture the commitment with party, items, rates, taxes and expected delivery, then track it until every line is fulfilled.

Delivery notes

Move goods out against the order, in full or in part. Stock and COGS post only when the delivery note is issued.

Purchase orders

Record what you ordered from each vendor, at what rate, and when it is due — with the register showing what is still open.

Receipt notes (GRN)

Receive against a purchase order, accept what arrived, and give the vendor bill a document to match — three-way matching without paper.

Returns and rejections

Record Rejection In and Rejection Out with a reason, so returned goods, credit notes and vendor claims stay traceable.

Registers and status

Sales Order and Purchase Order registers show status, value and pending quantity, filterable by party, date and fiscal year.

How it works

A sales order, end to end

Quote the customer
Build a priced quotation in CRM or Order Management. It stays a proposal — no stock moves and no ledger entry is posted.
Confirm the order
Convert the accepted quote into a sales order. The register now shows the commitment, the party and the pending quantity.
Deliver and invoice
Raise a delivery note for what is ready. Stock leaves the godown, COGS posts, and the sales invoice follows with IRD-compliant VAT.
Close the balance
Deliver the remainder or record a rejection, then close the order. The full trail stays available for audit and customer queries.

Order documents that satisfy a VAT audit

Because the delivery note and invoice are the same system, the quantity on the tax invoice always matches the quantity that left stock. Purchase orders and receipt notes give your vendors' bills a matching trail, which is exactly what an IRD audit asks for when it reconciles purchases with sales.

See the feature overview, the IRD verification details, or add Supply Chain when you want RFQ comparison and vendor scorecards in front of the purchase order.

FAQs

Order management in Nepal — common questions

A quotation is a priced offer and never touches stock. Once the customer accepts, it becomes a sales order — a commitment to supply. The delivery note is the document that actually moves goods out of the godown, and it is what reduces stock and posts the accounting entry.
Yes. A quotation built in the CRM can be converted to a sales order or straight to a sales invoice. The order then appears in the Sales Order Register with a single source of truth from lead to delivery.
Yes. Goods can be delivered in part against an open order, with the remaining quantity visible as pending. The order stays open until every line is fulfilled, rejected or closed, so nothing is silently forgotten.
A purchase order records what you agreed to buy. When goods arrive, a receipt note (GRN) is created against it; that is the document that increases stock and gives the vendor bill something real to match. Rejections are recorded separately as Rejection In or Rejection Out.
Yes. The Sales Order Register and Purchase Order Register list every order with status, party, value and pending quantity. Filters and the fiscal-year pill let you work the current period without losing older history.
Yes. Order Management is built on top of Inventory and Accounting, because delivery and receipt notes move real stock and post real vouchers. Both are on by default for a new company.
