Online Accounting Software in Nepal: How to Choose One That Fits IRD Rules

Nepali shop owner and accountant reviewing online accounting software on a laptop

Your accountant sits in Kathmandu. Your shop is in Butwal, and your stock is in Birgunj. Yet the books live on one computer in one office, and the VAT bill lands on the 25th. That’s the moment many owners start searching for online accounting software.

The idea is simple. You open your books in a browser, from any device, with everyone looking at the same numbers. However, Nepal adds its own rules, so not every tool fits. This guide shows what to check before you choose, and where Udyot ERP fits in.

Key takeaways
✔ Online accounting software keeps your books in the cloud, so you, your staff and your CA can all work from the same live data.
✔ Nepal needs more than generic features: BS dates, the Shrawan fiscal year, VAT invoices, TDS and IRD-listed billing.
✔ Any software that prints electronic bills must be IRD-listed, and larger taxpayers must connect to CBMS.
✔ Ask about data export, support and internet downtime before you pay.
✔ Start on a clean date, such as the first day of a month or of Shrawan, and run both systems side by side for a month.

What Is Online Accounting Software, and Why Are Nepali Businesses Switching?

Online accounting software runs on the provider’s servers, and you use it through a browser or an app. There’s nothing to install on one computer, and updates arrive without you doing anything. Your sales, purchases, bank entries and reports update as people enter them.

So why the switch? Mostly because business has spread out. Owners travel, branches multiply, and CAs prefer to review books without visiting the office. Also, the rules keep moving. The Finance Act changes each year, and the Inland Revenue Department (IRD) keeps tightening billing requirements.

A cloud tool doesn’t remove the work. It does remove the version problem, where three people hold three different Excel files.

Online Accounting Software vs Desktop Software

Both approaches can work. The right choice depends on how you operate.

 Online accounting softwareDesktop software
AccessAny device with internetOne computer or office network
UpdatesApplied by the providerInstalled by you
BackupsUsually handled by the providerYour responsibility
Internet neededYesOften not for daily entry
Remote CA or branch accessSimpleHarder to arrange

Notice the trade-off. Desktop tools can keep working when the line drops, while online tools make teamwork easier. If your internet is unreliable, ask each vendor exactly what happens during an outage. We cover that question below.

8 Things Online Accounting Software in Nepal Must Do

Global tools are polished, but they don’t always match local rules. Use this list as your filter.

1. Work in Bikram Sambat dates

Your fiscal year runs from Shrawan 1 to the end of Ashadh. For FY 2083/84, that started on Shrawan 1, 2083, which was 17 July 2026. Your VAT deadlines follow Nepali months too. So reports, filters and period locks should use BS dates, not force you to convert in your head.

Udyot tip: Udyot uses BS dates throughout, and its VAT screens work by BS month and year.

2. Issue proper VAT tax invoices

An invoice should carry your PAN, show the VAT clearly, and follow a numbered sequence. Also, a tax invoice shouldn’t be editable once issued. Corrections go through a credit note instead. If a tool lets anyone delete a sent invoice, treat that as a red flag.

Udyot tip: According to its IRD page, Udyot never lets an issued invoice be edited, cancelled or deleted. Corrections post as credit notes, and invoice numbers run sequentially per BS fiscal year.

3. Use IRD-listed billing software

This one matters most. Under IRD’s Electronic Billing Procedure, 2074, software that issues electronic bills must be enlisted with IRD, and your tax office must give you permission. Larger taxpayers must also connect to the Central Billing Monitoring System (CBMS). The turnover lines differ between published guides and have been changing, so ask your tax office where you stand.

Don’t rely on a brochure. IRD publishes the list of enlisted software on ird.gov.np, so check the vendor’s name there.

Udyot tip: Udyot lists IRD approval number 8301582, approved on Ashad 32, 2083, with CBMS integration. E-billing is switched on per company, and if the connection drops, bills queue and re-sync automatically. See the IRD verification details.

4. Prepare VAT returns and registers

VAT-registered businesses file monthly, by the 25th of the following Nepali month. That means purchase and sales books, plus annexes, must be ready on time. The best tools build the return from the same entries as your ledgers, so nothing needs re-keying.

Udyot tip: Udyot builds the monthly VAT return from posted vouchers, exports Annex 1 to 9, and prints the purchase and sales books in IRD Rule 23 format. Filing itself still happens on the IRD taxpayer portal. Read the step-by-step guide.

5. Handle TDS and payroll

TDS deposits and e-TDS returns also fall around the 25th, according to several tax calendars. Payroll adds PF, SSF, gratuity and income tax slabs. Doing this by hand is where honest mistakes creep in.

Udyot tip: Udyot's payroll calculates PF, SSF and gratuity, applies tax slabs, and generates payslips plus EPF, SSF and TDS returns in IRD-accepted formats. Our guide on PF, SSF and income tax for employers explains the rules.

6. Track receivables, payables and banks

Udharo is part of Nepali business. So the software should post every sale to the customer’s account and every purchase to the supplier’s account. Then you can see who owes what at a glance, and match your bank and cash entries against the books.

7. Connect inventory and sales

When stock sits in a separate sheet, numbers drift apart. A connected system updates stock, accounts and VAT from a single sale. That’s especially useful for retail and trading, where stock is most of your balance sheet.

Udyot tip: Udyot's documentation covers inventory and point-of-sale modules alongside accounting, so one entry feeds your stock and your books.

8. Give you control, exports and support

Ask who can see and change what. Ask how you can get your data out if you ever leave. Finally, ask who answers the phone when the 25th is two days away. A tool that’s cheap but silent is expensive on deadline week.

Questions to Ask Before Buying Online Accounting Software

Put these to every vendor, and write down the answers.

  • Is the billing software on IRD’s enlisted list, and what is the approval number?
  • Does it support CBMS if my turnover requires it?
  • How does it handle VAT rates, since the law now allows more than one?
  • Can I export all my data in a usable format, and how?
  • What happens if my internet drops during a busy day?
  • Who has access, and can I restrict it by role?
  • Is support available in Nepali business hours, and in Nepali?
  • Can I try it first, with my own data?

That last question is the easiest filter. A vendor that’s confident will let you test.

How to Switch to Online Accounting Software Without Chaos

Moving is less scary when you do it in order. Here’s a simple plan.

  • Pick a clean start date. The first day of a month works. The first day of Shrawan is even better, because a new fiscal year starts fresh.
  • Gather your opening figures. Export the trial balance, customer and supplier balances, and stock list from your old system.
  • Load opening balances. Then check that the new trial balance matches the old one exactly.
  • Run both systems for one month. It’s slower, but you’ll catch gaps before they reach a VAT return.
  • Set roles and train your team. Everyone should know what they can enter and what they can’t.
  • File the first VAT return carefully. Reconcile the new system’s figures with your old records before you submit.

Year-end deserves its own plan. Our fiscal year-end checklist lists 12 steps before Ashadh ends, and it works whichever system you use.

Frequently Asked Questions

What is online accounting software?

It’s accounting software hosted on the provider’s servers and used through a browser or an app. Your records stay in one place, so your team and your accountant see the same live data.

Can I use online accounting software for VAT billing in Nepal?

Yes, if the billing software is enlisted with IRD and your tax office has given you permission to issue electronic bills. Check the vendor on IRD’s published list before you buy, because the rules and thresholds change.

What happens if the internet goes down?

It depends on the product, so ask before you buy. In Udyot’s e-billing setup, if the connection to IRD’s system drops, selling continues and bills queue and re-sync automatically.

How much does online accounting software cost?

Prices vary by plan, users and modules, so compare the same scope across vendors. Udyot publishes its plans on the pricing page, and there’s a free 14-day trial.

Will online accounting software replace my accountant?

No. It gives your accountant cleaner, faster books. Judgement, filing decisions and audits still need a qualified person.

Final Thoughts on Online Accounting Software in Nepal

Good online accounting software saves time every month. However, in Nepal it only helps if it respects BS dates, VAT invoicing, TDS and IRD’s billing rules. So use the eight-point list above, test with your own data, and verify any IRD claim on IRD’s own list.

Then move on a clean date and run both systems for a month. After that, the 25th becomes a routine, not a scare.
