Projects and Timesheets

Projects & Timesheets is for billing time — agencies, consultancies, and anyone whose invoice is ultimately “hours worked × rate”. Hours are logged against a customer project as work happens, and the unbilled balance turns into an invoice whenever you are ready.

Creating a project

  1. Go to Services → Projects → + New Project.
  2. Set the customer and the billing type:
    • Time & Materials — hours are billable at a rate; this is the mode that generates invoices from timesheets.
    • Fixed — hours are tracked for your own costing only, while the client is billed a flat fee some other way.
  3. Set a default hourly rate.

Logging hours

Hours can be logged in two places: on the project’s own page, or — if you are the one doing the work — at My Timesheet: pick the project, date, hours, and a short note on what you did. Small, frequent entries beat month-end reconstruction every time, and the note becomes your defence when a client queries the bill.

Billing the hours

Open the project and click Bill All Unbilled. The system groups every unbilled hour into a Sales invoice and marks each hour as billed the moment the invoice posts — so nothing can be billed twice, even if two people click in the same minute. The invoice is a normal tax document: final once posted, corrected by credit note if needed.

Practical notes

  • Like contract billing, Bill All Unbilled dates the invoice at creation time — companies still onboarding their books to the current date should finish that first.
  • Fixed-type projects still benefit from timesheets: they tell you whether the flat fee actually covered the hours.
  • Clients who withhold tax on payment? Record it with the TDS Receivable flow on the receipt.
